How It Works

Your fundraising project in 5 easy steps — the same simple process for every project, whatever the season or theme.

Register your school Existing? Log in

Getting the most from your fundraising project is easy if you follow the 5 easy steps to success. Please spend a little time reading through these stages — they give you a full understanding of the process from start to finish.

Order your free artwork pack

  • Existing schools — log in to your portal account and create a new project.
  • New schools — register a free account with us, then create your project.
  • Download your drawing templates for the children to use from the project within the portal.

Create some fabulous designs

  • Have the children create their designs on the supplied drawing templates.
  • Record every child’s name and class clearly on each template.
  • Return all drawings to us with the return slip enclosed. The prepaid label and return slip can be requested from the project within the portal.
Important tip — Read the artwork guidelines on the template and website to get the most from your project and avoid mistakes. We can’t progress your project until your online Project Setup is complete.

Personalised order forms

  • On receipt of your drawings we’ll email you to let you know they’ve arrived safely.
  • We scan every drawing and record each child’s details on our system.
  • From the drawings and names we create a set of personalised parents letters — one per child — each showing their scanned artwork and an order link for parents.
  • It takes up to 3 working days from receipt of drawings to create your parents letters, you will be notified by email when they are ready to download from the project within the portal.

Parents order online

  • Distribute your personalised parents letters to the parents so they can place orders online.
  • Track how many orders have been placed through your online control panel.
  • Your shop closes on the closure date you set — then we print all ordered items.
  • Orders are dispatched up to 2 weeks after your online shop closes.

Receive & distribute your order

  • Your order arrives by courier (APC) to your chosen delivery address and requires a signature.
  • Check you’ve received every box — they’re labelled 1/3, 2/3, 3/3 etc. as larger orders are split.
  • Check the order against your confirmation on arrival so you know when items have been misplaced.
  • All items are labelled with the child’s full name and class (or a code) for easy distribution to parents.
  • After your project ends — typically 2–3 weeks after delivery — we email you to confirm bank details, then pay your commission by BACS direct to your account.
